Zoho One Pricing for Growing Businesses

Ask five people what Zoho One costs and you’ll hear five answers: $37, $45, $90, $105, or ₹1,250. They’re all correct, and that’s the problem. Zoho One pricing isn’t one number. It’s a licensing decision wrapped around a rate card, and the decision usually moves your bill more than the rate does.

This guide covers current Zoho One pricing in India and the US, the exact break-even between the two licensing models, what a growing team pays over three years, and the costs that never show up on the pricing page. Where most guides stop at the per-user rate, we’ve added a cost-per-active-user test and a three-year model, so you can see how the maths shifts as headcount changes. If you want a second pair of eyes on your numbers, Elsner’s Zoho development services team does this kind of scoping every week.

Quick Answer

Zoho One Standard costs ₹1,250 per employee per month in India and $37 in the US on All Employee pricing with annual billing. Flexible User pricing is ₹3,500 in India and $67 in the US as currently displayed on Zoho’s US page, against a $90 list price. Monthly billing costs more: ₹2,500 and ₹4,000 in India, $45 and $105 in the US. All Employee becomes the cheaper model once roughly 36 percent of your headcount needs a licence in India, and between 41 and 55 percent in the US, depending on which Flexible rate applies. Tax, implementation, migration, and integrations come on top.

Research date: October 29, 2026. US prices come from Zoho’s pricing page and cross-checked pricing reports. Zoho’s US page currently displays $67 for Flexible User against a $90 list price, and search results show both figures, so this guide uses both and labels each one. India rupee prices come from Zoho’s India rate card as reported by several independent pricing guides updated in October 2026, and the licensing rules come from Zoho’s official pricing FAQ. Prices and offers change, so confirm your own country’s numbers before you budget. Every calculation below is our own arithmetic on these reference rates, before tax.

What Zoho One includes

Zoho One bundles Zoho’s business apps under one subscription, one admin console, and one invoice. The Standard edition lists 50+ apps across sales, finance, support, HR, projects, and collaboration, and you can browse the full applications list on Zoho’s site.

Essentials is the lighter edition. Zoho’s FAQ lists apps such as Bigin, Campaigns, Mail, Cliq, Projects, Desk, Books, and People, and the exact set varies by region. Notice what’s absent: Bigin is Zoho’s lightweight CRM, so Essentials isn’t the same thing as full Zoho CRM. If sales pipelines are central to your business, check that before choosing. Zoho’s plan details page shows what each edition contains for your country.

Essentials Standard
Apps included 15+ unified apps 50+ unified apps
Typical fit Companies starting digital operations Teams connecting several departments
Customization Basic setup Platform capabilities to build and extend
Switching editions Moving up applies to all users together Moving down applies to all users together

That last row catches people out. You can’t run half your users on Essentials and half on Standard. One practical tip: Zoho’s free trial opens the full product, and you choose an edition when it ends. Test the Standard apps first, then decide.

Zoho One pricing in India

Indian accounts see rupee pricing. Don’t convert a dollar figure and assume that’s your price, because Zoho sets each region’s rate card separately.

Licensing model Monthly billing Annual billing (per month) Who needs a licence
All Employee ₹2,500 per employee ₹1,250 per employee Every employee in the organization
Flexible User ₹4,000 per user ₹3,500 per user Only the users you choose

The annual column is a monthly equivalent. A 20-person company on annual All Employee pricing pays ₹25,000 a month equivalent, or ₹3,00,000 a year. Licensing just 6 people on Flexible User comes to ₹21,000 a month equivalent, or ₹2,52,000 a year. Same software, different headcount logic.

GST is extra. If 18 percent applies, ₹1,250 becomes ₹1,475 and ₹3,500 becomes ₹4,130 per month. Treat 18 percent as an assumption for budgeting, read the tax line on your quotation, and ask a tax professional whether you can claim input credit.

Zoho One pricing in the US

Licensing model Monthly billing Annual billing (per month) Who needs a licence
All Employee $45 per employee $37 per employee Every employee in the organization
Flexible User $105 per user $67 currently displayed ($90 list) Only the users you choose

Here’s the part that confuses people. Zoho’s US page currently displays $67 per user per month for Flexible User on annual billing, while the list price is $90, and both numbers appear in search results and pricing trackers. Zoho’s pricing FAQ says it doesn’t offer discounts such as nonprofit or education pricing, so treat $67 as a displayed offer and not a permanent entitlement. Our advice is to plan on $90, because that’s the figure that survives if the offer ends, and treat $67 as upside. Either way, confirm whether the displayed price carries over at renewal.

One more rule worth knowing early. An account bills in the currency of the country where it’s created, and a multinational can’t pay one office in rupees and another in dollars. If you run teams in India and the US, decide which entity owns the account before you compare prices.

All four price points at a glance

Region and model Annual (per month) Monthly billing Premium for monthly
India, All Employee ₹1,250 ₹2,500 +100%
India, Flexible User ₹3,500 ₹4,000 +14.3%
US, All Employee $37 $45 +21.6%
US, Flexible User $67 displayed ($90 list) $105 +56.7% vs $67, +16.7% vs $90

India’s All Employee monthly rate stands out. Paying month to month there costs exactly double the annual rate, so a short pilot on that model is the most expensive way to test Zoho One. We’ll come back to this when we get to billing.

The licensing rules, in plain English

Rate cards are easy to read. Licensing terms are where companies slip. These points come straight from Zoho’s pricing FAQ.

  • All Employee: you must buy a licence for every employee in the organization. There’s no minimum, so even a one-person company can use it
  • Flexible User: you buy only the licences you need, with no minimum. Franchise owners and single divisions of a larger entity can use it
  • Unlicensed staff: if you’re on All Employee and not everyone is licensed, Zoho says it will ask you to buy the rest or switch to Flexible, and reserves the right to take further action, including ending service
  • Staff without devices: employees whose roles don’t involve computers or phones are a conversation for Zoho’s sales team, not a loophole to assume
  • Mid-term changes: licences can be added or removed during the term, and refunds for removed licences go through Zoho’s payments team
  • Contracts: Zoho says there are no long-term contracts, and the best price comes with annual billing
  • Buying route: the price is the same whether you buy directly or through a Zoho partner

The unlicensed-staff rule deserves a second read. Plenty of teams assume they can license the 12 people who matter and quietly skip the warehouse crew. Under All Employee pricing that isn’t allowed, and a licence audit is a bad way to find out.

Where All Employee beats Flexible User

All Employee is cheaper per head but covers everyone. Flexible User costs more per head and covers only who you pick. The crossover is simple division: the All Employee rate over the Flexible rate.

35.7%

India: Flexible User is cheaper while licensed users stay below this share of total headcount (₹1,250 divided by ₹3,500).

Source: our calculation on annual reference rates

41% to 55%

US: Flexible User is cheaper below 41.1 percent of headcount at the $90 list price ($37 divided by $90), or below 55.2 percent at the displayed $67.

Source: our calculation on annual reference rates

In head counts, this is the most Flexible User licences you can buy before All Employee becomes the cheaper option.

Total employees India: Flexible wins up to US at $90 list: Flexible wins up to US at $67 displayed: Flexible wins up to
10 3 users 4 users 5 users
25 8 users 10 users 13 users
50 17 users 20 users 27 users
100 35 users 41 users 55 users

Take a 25-person company in India. Eight Flexible licences cost ₹3,36,000 a year, below the ₹3,75,000 All Employee total. A ninth user tips it the other way, and at 12 users the Flexible bill reaches ₹5,04,000. Same company, same software, a ₹1,29,000 swing from one headcount decision.

A second test: cost per active user

Break-even percentages are accurate but abstract. Here’s a more intuitive check. Divide your All Employee bill by the number of people who will genuinely use Zoho One, then compare the result with the Flexible rate.

Active users (of 50 employees) India: All Employee cost per active user US: All Employee cost per active user Cheaper model
10 ₹6,250 $185.00 Flexible, in both regions
20 ₹3,125 $92.50 India: All Employee. US: Flexible, at either price
30 ₹2,083 $61.67 All Employee, in both regions
40 ₹1,563 $46.25 All Employee, in both regions

Read it like this: at 50 employees, the All Employee bill is ₹62,500 or $1,850 a month. Spread across 10 real users, that’s far above the Flexible rate. Spread across 30, it’s a bargain. The model that wins isn’t the one with the lower rate. It’s the one whose dormant licences you can live with.

What Zoho One costs by team size

These are annual Standard subscription totals on All Employee pricing, before tax and services.

Employees India, per year US, per year
10 ₹1,50,000 $4,440
25 ₹3,75,000 $11,100
50 ₹7,50,000 $22,200
100 ₹15,00,000 $44,400

The formula is employees times the monthly rate times 12. For Flexible User, swap in licensed users and the higher rate. Ten licensed users in the US cost $10,800 a year at the $90 list price, just below the $11,100 All Employee total for a 25-person company, and an eleventh user ends the advantage. At the displayed $67, you can license 13 users for $10,452 before the $11,256 bill for a fourteenth tips it toward All Employee.

A three-year view for a growing team

Pricing pages show one year at one headcount. Real companies hire. Here’s an illustrative model: 25 employees today, roughly 20 percent more people each year, and 8, 10, then 12 active Zoho users.

Year 1 Year 2 Year 3 Three-year total
Employees and active users 25 and 8 30 and 10 36 and 12
India, All Employee ₹3,75,000 ₹4,50,000 ₹5,40,000 ₹13,65,000
India, Flexible User ₹3,36,000 ₹4,20,000 ₹5,04,000 ₹12,60,000
US, All Employee $11,100 $13,320 $15,984 $40,404
US, Flexible User $8,640 $10,800 $12,960 $32,400

Flexible wins here by ₹1,05,000 in India and $8,004 in the US at the $90 list price, because active users stay near a third of headcount. At the displayed $67, the US Flexible total falls to $24,120. Now flip one assumption. If year-three adoption jumps to 15 active users out of 36, US Flexible at $90 reaches $16,200 against $15,984 for All Employee, and the cheaper model changes. At $67 it would take 20 users to flip. The lesson is that the right licence model isn’t permanent, and Zoho’s FAQ says licences can be added or removed mid-term, so revisit the maths at every renewal.

One caution on All Employee: every new hire adds a licence whether they open the suite or not. That’s fine when adoption is broad. It’s expensive when growth comes from roles that barely touch software.

Monthly billing vs annual billing

Annual billing carries the best price, and Zoho says it doesn’t force long-term contracts, so annual is a billing choice more than a lock-in. Still, check your cash flow. Annual billing usually means one larger yearly payment, and refunds for removed licences go through Zoho’s payments team rather than happening automatically.

Monthly billing suits a genuine pilot. Use it for two or three months with a handful of users, then move to annual once adoption is proven. In India, avoid running All Employee on monthly billing for long, since it’s double the annual rate. In the US, the premium is smaller, about 22 percent, so a short monthly period is easier to justify.

What the subscription doesn’t cover

The licence gives users access to apps. It doesn’t configure them, fill them with your data, or connect them to the rest of your stack. Budget these separately.

  • Implementation: roles, permissions, fields, and workflows set up around your real process
  • Data migration: moving customers, products, and financial records out of old systems
  • Integrations: connecting stores, payment gateways, ERPs, and websites
  • Custom development: bespoke apps, automations, and reports beyond the defaults
  • Training: the line item that decides whether anyone uses the suite
  • Support add-ons: Enterprise or Premium support, sold as optional extras
  • Marketplace extensions: per Zoho’s FAQ, these aren’t currently on the single Zoho One invoice

Zoho offers its own onboarding through Jumpstart configuration packages and a Concierge service, and partners handle heavier custom work. Since Zoho says pricing is identical whether you buy directly or through a partner, the real difference is service, so compare scopes and not licence quotes.

Migration is the line that surprises people most. Moving off another CRM is rarely copy and paste, and our Salesforce to Zoho CRM migration guide walks through what that process involves. For custom apps and integrations, a specialist team can scope that work on its own, since cost follows complexity and not licence count.

Not sure which Zoho One model fits your team?

Elsner can count your real users, run the break-even math, and scope the implementation separately so your budget has no surprises.

Talk to Our Zoho Team

Zoho One vs buying Zoho apps separately

Zoho One only makes sense if the bundle costs less than what you’d really buy. The test is short. List every Zoho app your team would use, price each one per user on equal billing terms, and add them up for the people who’d use them. Compare that total with the Zoho One rate for your chosen model.

A few honest rules of thumb follow. If most staff would use three or more paid apps, All Employee pricing is usually hard to beat. If only one team needs one app, a standalone plan probably wins. Our Zoho CRM pricing plans guide breaks down individual tiers so you can price the CRM side properly.

Here’s a quick scenario. A 15-person agency where everyone uses CRM, accounting, helpdesk, and project tools should add up those four standalone plans. If the total passes ₹1,250 or $37 per person each month, All Employee wins before you count the single admin console. If only 5 of the 15 use more than two apps, Flexible works out to ₹17,500 a month against ₹18,750 for All Employee, and Flexible edges ahead.

There’s also a useful switching trick from Zoho’s FAQ. If you already pay for Zoho apps on separate plans, start a Zoho One trial, add the apps you currently use, and then upgrade. Zoho says that route prorates your existing payments and consolidates billing cycles into one date. Upgrading without the trial step skips the automatic adjustment.

When Zoho One is worth it, and when it isn’t

It’s worth serious attention when disconnected tools are costing you time. A company that runs CRM, invoicing, support, and project tracking in four systems pays twice: once in licences, again in re-keyed data. One suite with one admin console removes some of that friction. Retail teams juggling stores, stock, and campaigns can see how that plays out in our piece on how retailers use Zoho One.

It’s a weaker fit when you need one function. A team that only wants CRM or only wants invoicing may spend less on a standalone plan, and a business with a heavy Microsoft or Salesforce footprint carries switching costs that a lower licence rate won’t erase.

Your situation What to evaluate first
Most employees will use the suite All Employee total cost, and whether every employee can be licensed
One or two teams need access Flexible User against the crossover table
You need one or two apps Standalone Zoho plans before the full suite
Several divisions or franchises Flexible User, confirmed in writing with Zoho sales
Teams in India and the US Account country, billing currency, and tax treatment
Heavy custom workflows Implementation and integration budget on top of licences

Seven questions to ask before you sign

  • Headcount definition: who counts as an employee for All Employee licensing, including part-time staff, interns, and contractors
  • Region and currency: which country the account is created in, and what that does to billing
  • Edition: whether Essentials contains the apps you need, since switching moves everyone together
  • Live price: the exact rate and any displayed promotion, with renewal terms in writing
  • Tax: the GST or VAT line, and whether input credit applies to you
  • Support: whether you need a paid support add-on, and what it costs
  • Services: what any partner’s implementation quote includes, and what it leaves out

If a partner quotes you a licence price different from Zoho’s list, ask why. Zoho says buying directly or through a partner costs the same, so a gap usually means bundled services, and that’s fine as long as you can see them itemized.

How to avoid paying for 50 apps and using four

The most common waste in Zoho One isn’t the licence rate. It’s the unused catalogue. Teams pay for the whole suite, switch on CRM and Books, and leave the rest untouched for a year.

A phased rollout fixes that. Start with the one or two apps that solve your loudest problem, usually CRM or accounting. Add support and projects once data flows cleanly. Track adoption by behaviour: the share of deals logged in the CRM, the share of invoices raised in Books, and the number of spreadsheets still running parallel workflows. When those numbers climb, add the next app. When they stall, fix adoption before adding more.

Building your Zoho One budget in six steps

1. Count people twice

Total employees in the organization, and the users who’ll truly work in the suite. Both numbers matter.

2. Pick the edition

List the apps each team needs, then confirm they’re in Essentials or Standard for your region.

3. Price both models

Run All Employee and Flexible User on the same billing frequency, then check the crossover table and the three-year view.

4. Add tax and extras

Use the tax line from the official quotation. Then add support add-ons and any marketplace extensions.

5. Scope the services

Migration, integrations, training, and custom work belong in a separate estimate. For a sense of rates, see what Zoho developers cost.

6. Get it in writing

Current price, offer eligibility, renewal terms, and included apps, confirmed before you pay.

If your stack includes an online store, factor in Zoho ecommerce integrations early, because that’s where budgets tend to stretch.

Key takeaways

  • Reference Standard rates on annual billing are ₹1,250 (All Employee) and ₹3,500 (Flexible User) in India, and $37 and $67 displayed ($90 list) in the US.
  • All Employee beats Flexible User once licensed users pass about 36 percent of headcount in India, or 41 to 55 percent in the US, depending on the Flexible rate.
  • Monthly All Employee billing in India costs double the annual rate, so run only short pilots that way.
  • All Employee means licensing everyone in the organization, and Zoho says unlicensed staff can lead to action including ended service.
  • Run a three-year model, because every new hire adds a licence under All Employee.
  • The subscription excludes tax, migration, integrations, training, support add-ons, and marketplace extensions.

Frequently Asked Questions

How much does Zoho One cost per user per month?

Reference Standard rates on annual billing are ₹1,250 per employee (All Employee) and ₹3,500 per user (Flexible User) in India, and $37 and $67 displayed ($90 list) in the US. Monthly billing is ₹2,500 and ₹4,000 in India, $45 and $105 in the US. Rates exclude tax, so confirm your region’s live pricing.

Is Zoho One cheaper with annual billing?

Yes. Annual billing lowers the monthly rate in every region, most dramatically for India All Employee, which drops from ₹2,500 to ₹1,250. Zoho says it doesn’t force long-term contracts, but confirm the renewal terms before you pay.

Do I have to buy a licence for every employee?

Under All Employee pricing, yes. Zoho’s FAQ says you must license every employee in the organization, with no minimum count. Flexible User lets you license selected users instead, and franchises or single divisions can use it.

Does Zoho One pricing include GST in India?

Quoted prices exclude tax. If 18 percent GST applies, ₹1,250 becomes ₹1,475 and ₹3,500 becomes ₹4,130 per month. Confirm the tax on your quotation and ask a tax professional about input credit.

What’s the difference between Zoho One Essentials and Standard?

Essentials offers 15+ apps for companies starting out and includes Bigin rather than full CRM. Standard offers 50+ apps with more customization. Switching editions applies to all users together, so check your app list first.

When does All Employee pricing become cheaper than Flexible User?

When licensed users pass roughly 36 percent of headcount in India (₹1,250 divided by ₹3,500) or 41 percent in the US at the $90 list price ($37 divided by $90), rising to 55 percent at the displayed $67. Below those shares, Flexible User usually costs less.

Are implementation and support included in Zoho One pricing?

No. The subscription covers apps and entitlements. Setup, migration, integrations, training, and custom development are separate, and Enterprise or Premium support are optional add-ons. Zoho and its partners sell these services separately.

Can I change licences after I start?

Yes. Zoho’s FAQ says you can add or remove licences before your term ends, and refunds for removed licences go through its payments team. Revisit your licence count at every renewal as headcount and adoption change.

The bottom line

Zoho One pricing is less about the lowest rate than about the licensing model that matches your people. Count your real users, run both models over three years, and keep implementation in its own line. Do that and the number you take to your finance team will still hold at renewal.
